  • How We Work?

We prefer to receive PDF proofs as they become available.  This enables us to better meet the deadlines. While an index can be compiled in the first pass proofs, we prefer to wait until at least second pass. This allows the author, the designer, and the proofreader to identify any problems in the text before the index is compiled.

The proofs are color coded with highlighters to indicate entries and where an entry should be placed if multiple indexes are being produced. Each chapter is quickly read so that the general concepts are more easily identified. This file is then spellchecked. Each index is edited at least twice. If there has been copy reflow, the tracked proofs allow for easier correction.

You will make a payment of 10% of the fee of the price quote. My price quote will carry the terms of the contract and outlining the indexing fee and related matters. When you make a payment that will be construed as acceptance of the terms. After completion of indexing, the copyright to the index shall be provided to you upon full payment of the indexing fee.

Re-indexing will be charged extra-fee if it is a result of the book’s pagination changes.

The cancellation or rescheduling may be expected to result in a penalty of 25% of the originally agreed-upon total for the project.

  • Planning Your Work

We provide affordable book indexing services and ensure that my index enhances the book value in the eyes of the reader. All our indexes are thoughtfully structured so that readers will quickly and efficiently find the required information whilst ensuring the author’s intent and content are accurately reflected. While the author is the expert on the subject, as an indexer we approach the topic from the viewpoint of the reader who may not be as knowledgeable on the subject.

A carefully crafted index makes the book accessible to the readers. Whether you’re publishing your book through a mainstream publisher or self-publishing,  it enhances value of the book in the eyes of the readers and it can be used as a book marketing  tool.

If a book is an ocean of words and concepts,  the index is the fishing rod  that makes content accessible.  The index entries are like multi-prong threads that  weave a  conceptual web around the whole book so that the reader can easily read any segment, topic or keyword anytime he wants to read.

Planning Your Index

A lot of things have to be decided before we can start book indexing. For example, how much space will be allowed for an index? Are you trying to fit the index in a specific number of lines or can the index be as long as needed?

How many indexes? A single index which includes both authors and subjects is generally the easiest to use. Author indexes are sometimes done separately, often for space purposes. For marketing purposes, a separate company/product index might be included. Remember a reader can be frustrated by multiple indexes.  How many levels will be allowed? Most books can be indexed with two levels.

Should the main entry start with a capital letter or a lower-case letter. Traditionally, main entries were capitalized. But this seems to be changing. It often follows subject matter. Computer books and children's books are often lower case. The number of subheads can be one factor in deciding.

Should illustrations and tables be called out? Some  publications  include abbreviations indicating illustrations, graphs, maps, and photographs. Medical books generally include references to tables, figures, and boxes.

Should full or abbreviated page numbers be used? This is one way of conserving space. Full pages are generally used in children's and medical books, but most trade and text books will use abbreviated page numbers.

Should the index be indented or run-on style? The run-on style will save some space, but is harder on the user. The Chicago Manual of Style 15th edition also has added a combination of the two. The first subhead is indented and the subsubheads are run-in.
